Job Description

JOB NATURE, SCOPE, PURPOSE :

This position is accountable in general business administration for the entire KCP Hong Kong team. He / She is responsible in preparing internal reports in timely manner for KCP team and regional team.

He / She is required to collaborate with Head of Sales to liaise with distributors for on-going strengthening business relationships through business process automation.

He / She is responsible for working with regional team to ensure systems work well for the team for pricing administration and chargeback claim from distributors.

He / She is also in charge of testing and as a project team for system upgrade.

He / She is the key contact point for communication with distributors for updated sales information, pricing, sales promotion programs and sales tools.

To ensure the communication is done through emails, direct contact and through digital platforms.

JOB ACCOUNTABILITIES :

To ensure Vistex, SAP and SPARTA work for the team and have on-going effectiveness and efficiency improvement in the SPA application and contract rebate renewal process.

To work with Project team for on-going system upgrade.

To ensure that distributors’ rebate charge back claim process is efficient and enhance high level of conformity of distributors’ rebate claims against what KCP approved.

It includes the SPA rebate claim, Distributors’ Sales Representatives Incentive Rebate Claim.

To close incentives for KCP team and distributors’ team on a timely manner.

To provide timely and accurate internal reports for KCP sales team / regional team.

To provide administrative support to entire KCP team. Deliver high level of professionalism to people to whom the position is to interact with.

Work with Finance team and Business Analysts for distributors’ sell out rebate accrual and distributors’ incentive plan accrual.

Apply Corporate Financial and Internal Controls and Procedures to safeguard KCHK business interest.

Work as the key contact point for communication with distributors for updated sales information, sales promotion programs and sales tools.

To ensure the communication is done through emails, direct contact and through digital platforms

Communicate fully with superiors, peers, and others who have a need to know. Be informative without being obtrusive or vexatious.

Communicate in a way that is timely, yet prompt; complete, yet concise; candid, yet accurate; clear, yet responsive.

In charge of own capability and develop Individual Development Plan for continuous improvement.

KEY CUSTOMERS : Internal :

Internal :

General Manager, Senior Sales Manager, Sales Manager, Sales Team, Marketing Team, Staff Support Teams (specific functional areas)

External :

Distributors key executives in specific functions include but not limited to Sales teams, IT Sales Administration.

QUALIFICATIONS :

University degree preferably in business focus.

With minimum 5 years’ work experience in sales & marketing administration function in business-to-business environment or non-retail business.

Analytic mind and detailed minded.

2 years’ experience in generating business reports.

Experience in SAP is preferable.

High computer literacy and proficiency in computer software Microsoft Access, Advanced Excel, Microsoft Word, Advanced Power- Point.

Excellent communication skills and good telephone Manner, pleasant personality.

Fluent Cantonese and proficient in written and spoken English. Spoken mandarin is preferable.
