About the role

Based in the Hong Kong office, you will be responsible for the efficient and smooth running of our offices in Hong Kong and Singapore.

Leading a team of secretarial and office support staff, you will oversee the smooth running of our offices. Together with regional and local colleagues, you will be responsible for driving initiatives and implementing solutions that maintain and develop a business support service that is responsive to partners', lawyers' and clients' needs as well as the changing way in which we work.

With similar experience gained in professional services firms you will need to be extremely well organised and good at prioritisation.

You will also need to be highly adaptable with a flexible can-do attitude. Ability to influence and consult with Partners and people at all levels will be key to the success of this role.

You must be a self-starter who can work in a high volume, fast paced environment, handle ambiguity and demonstrate problem-solving leadership with limited direction.

Taking initiative and being a confident leader who thrives on developing and nurturing talent will be essential to the success of this role.

  • Ensure that we have the right people in the right roles to provide an efficient service to our internal and external clients
  • Build relationships with the legal teams to develop an understanding of their individual support requirements and assist with predicting any future support needs
  • Ensure effective operational management of all secretarial and office support teams, with a focus on service delivery and quality, proactivity, flexibility and service excellence
  • Manage all changes to process to ensure appropriate communication plans are implemented
  • Coordinate secretarial allocations, including organising cover for absence and planned annual leave, approving leave and updating leave calendar
  • Coordinate workflow and resourcing to ensure people are utilised in the most effective way possible
  • Identify and work with HR in the creation and delivery of learning and development programs for legal secretaries and office support teams to improve their skills and abilities and also support their career development
  • Review recruitment needs with stakeholders and attend to recruitment and onboarding of secretaries and office support teams
  • Help maintain good morale among support teams, monitor performance and work with HR in relation to any performance issues which have been identified
  • Facilitate regular one on one and team meetings with support teams to set and review objectives and ensure service levels are met
  • Listen to feedback and concerns of team members and ensure these are responded to
  • Ensure all financial and budget processes and controls are managed and adhered to in line with firm policies and procedures
  • Develop a culture of financial prudence amongst the team, ensuring discretionary costs are managed and minimised at all times.
  • Projects

  • As part of a regional project team, you will lead on projects relating to the review of legal support with the view of improving the level of service provided in the offices you are managing
  • Support COO by assisting with projects in relation to office space, relocations and necessary arrangements, and
  • Complete other ad hoc projects as required.
  • Key skills and experience

  • Degree qualified in Business / Organisational Change or other related degree (preferred)
  • Experience in a senior legal support or office management role
  • Demonstrated experience in driving transformational change, with focus on continuous improvements of processes, systems, and operational effectiveness of the legal and office support function
  • Demonstrated ability to think creatively and outside the box, challenge the status quo, introduce new ideas and apply innovative solutions in a positive way
  • Demonstrated experience leading a team and developing people
  • Self-motivated, strategic and analytical thinker with a positive, 'can do' attitude, and high levels of initiative, enthusiasm and attention to detail
  • Ability to operate and thrive in a rapidly expanding, dynamic and often ambiguous environment where strong self-direction and independent problem solving is required to succeed
  • Outstanding interpersonal skills with an ability to communicate effectively across all levels of an international organisation and externally
  • Ability to solve problems practically and with commercial awareness.
