Job Mission : Across Chanel in Hong Kong & Macau, there are around 12 office premises including Retail Support Office & Distribution Centre which contribute to the complexity of the jobs to be done in making CHANEL a Better Place to work for our people.

The external context coupled with the multiple facilities management call for the need to apply a human centric, agile and technology driven approach to support and meet the constantly changing needs of multi-generational individuals and teams in the House.

Concretely, the mission of the workplace experience team is to create an employee-centric workplace to engage our people and to foster a collaborative and innovative culture with focus around facilities management solutions on the floor with technology as a key enabler.

Key Responsibilities : Reporting to the Assistant Manager, Facilities Management, the position of Facilities Specialist will be responsible for providing the support for the overall facilities preventive and corrective maintenance, and deliver day-to-day operations on the floor covering all the office premises across Hong Kong & Macau, including the Retail Support Office for our retail population.

He / She will need to reference the backbone under Living CHANEL in delivering his / her missions and communicating closely with the stakeholders in delivering the best workplace experience to our people.

The core focus of the Facilities Specialist of Facilities Management can be divided into two key areas of Facilities Management (covering Maison CHANEL), Office Space Planning & Projects.

Facilities Management Coordinate with the internal stakeholders and contractors to arrange the regular and ad-hoc repair & maintenance for the offices and Retail Support Offices, including Fire Services Equipment, Air-conditioning System, Security Access Control, AV equipment, office furnishing, etc.

and ensuring the tasks are completed smoothly and safely at the workplace environment Maintain and conduct inventory of office furniture and office equipment with data report, and perform asset count annually, including the Green Hub items.

Plan and conduct the regular facilities and equipment inspection for Office and Retail Support Offices Facilitate reports and payments pertaining to purchasing and other utility bills Vendor management including contract management and negotiation, performance review Playing as a key contact person for urgent repair and liaising with all Building Management Offices and ensure compliance with all their requirements and rules & regulations To be flexible for work after office hours when it’s necessary To act as main contact for any emergency call, including building management office, security, E&M issues, etc.

Office Space Planning / Projects To assist the Assistant Manager, Facilities Management in driving the office space planning, renovations and any ad hoc office projects across all offices and Retail Support Offices Responsible for the assigned projects from planning to delivery, including constructability, logistic planning, procurement, contract administration, relocation, site safety supervision and quality assurance, etc.

Assist to prepare documents such as proposal, budget and analysis, etc. in the field of renovation project for Management’s review and approval.

  • Manage the projects with license applications / alterations Monitor and report progress of projects, identify critical activities and quality divergence, and recommend remedial actions Plan and estimate the project expense and ensure the expenditure of each project is well-controlled within budget;
  • as well as review and amend the budget when it is necessary Be proactive and communicate with key stakeholders on all office space related projects and initiatives such as Retail properties, landlords / building management, consultants, etc.

    Ad hoc projects / duties as assigned from time to time Technology To work closely with Technology & Digital Service team for providing an agile and flexible workplace Ensure regular benchmark and implementation of good practices from the market and other companies.

    Contribute to evaluations of potential fit of prospective new technology opportunities Office Administrative Support To work closely with the office assistants in ensuring seamless delivery services across all the office premises and Retail Support Office To support Assistant Manager and assign the daily works for the office assistants with the skills required in supporting the day-to-day facilities works with a major focus on the Retail Support Office At Chanel, we are focused on creating an inclusive culture that nurtures personal growth, contributing to collective progress.
