The Information Governance (IG) Specialist executes and / or supports one or more IG projects and services relating to departing personnel, file transfers, file intake, data privacy, data protection, records retention review, or electronic recordkeeping.

Monitors users' system activity, performs fact finding, and documents results. Analyzes legacy and unstructured data to identify corresponding client matters and records retention periods.

The individual in this position advises attorneys, paralegals and other legal staff and administrative personnel on information governance related policies and procedures.


  • Provides practice-specific records guidance to firm personnel at all levels on the firm's records management policy and information governance processes.
  • Consults with Firm personnel on the appropriate locations where data should be stored and acts as a resource regarding various information governance questions for attorneys, staff and other users.
  • Confers with other Risk Management personnel and IT on issues relating to the intake, maintenance and disposition of electronic records.
  • Advises Records Management Attorneys and / or their secretary on all aspects of the KERI approval process and disposition, e.
  • g. destroy, return-to-client, retain processes.

  • Coordinates and assists with the conversion of paper files to electronic format. Identifies and processes unidentified physical and electronic records.
  • Destroys / deletes paper and electronic records per KERI or Protective Orders.
  • Facilitates local retrieval, validation and shipping of records in response to internal requests and approved file releases.
  • Ensures local departures are processed in accordance with the departing personnel procedure to include filing of material under the departing person's personal control.
  • Ensures file intake of lateral hire files is in compliance with Firm policy, or escalates for review and resolution to the appropriate individuals.
  • Assists with investigations and incident response relating to data protection and data privacy.
  • Qualifications

  • A bachelor's degree in related discipline (or equivalent experience).
  • At least 2-4+ years of experience in a law firm or corporate legal environment or experience in IG / Records Management, Privacy or Compliance is preferred.
  • Proactive contributor who demonstrates enthusiasm for Information Governance.
  • Excellent customer service orientation with strong communication skills and the ability to work with attorneys and staff at all levels.
  • Strong organizational, consulting and negotiation skills are required.
  • Ability to effectively prioritize and respond to multiple service requests, often while working under tight time constraints and across different time zones.
  • Fluent in English and Cantonese. Ability to develop and deliver grammatically correct and error-free verbal and written English communications in a variety of formats and styles.
