The Head of APAC CTO Office / Chief of Staff manages the teams providing support to the CTO (Chief Technology Officer) including the Budget / PMO team, the Software Asset Management team, the IT Risk / OPC team and the assistants.
She / he will actively support the CTO in all initiatives and duties, acting as relay to the management team, ensuring a strong governance is followed across IT Production.
Main objectives of the Head of APAC CTO Office :
Manage the teams providing support to the CTO including the Budget / PMO team, the Software Asset Management team, the IT Risk / Operational Permanent Control team and the assistants.
Facilitate objectives cascading & follow up, ensure CTO actions monitoring
Assist the CTO to shape the IT Production Organization in line with IT Group Governance Principles and Procedures (ITG Governance)
Ensure that the IT Group Governance Principles and Procedures (ITG Governance) are implemented across APAC
Ensure efficiency in the strategic governance (framework, content, alignment, implementation)
Prepare CTO executive meetings presentation or contribution
Represent the CTO in some meetings
Take the lead on some projects or subjects by delegation of the CTO
Facilitate Continuous Improvement and problem solving
Facilitate Change Management & Efficient Communication within the organization
Contribute to Staff development & Mindset management
Organize and maintain the APAC IT Production Management OneNote (containing all important and critical information)
Assist the CTO to analyze industry best practices obtained from Gartner and incorporate them into the strategy
Organize and maximize the use of Gartner Analyst
Support the CTO in optimizing time management & focusing on value added for the organization. Maintain, organize and facilitate CTO’s commitments prioritization.
Support all initiatives launched by the CTO, especially in performance management, global communication, mindset & behavior management.
Improve Management processes efficiency when required.
Facilitate objectives cascading & follow up, from strategic ones to operational ones, or from CTO / Exco decision to concrete & long term implementation.
Assist in achievement of stated strategic goals and operational objectives. Monitor progress against goals.
Prepare CTO executive meetings summaries or contribution, presentations, & responses to various issues in advance of key meetings, as appropriate.
Coordinate actions of preparation with appropriate ExCo members or key stakeholders. On key meetings, presentations & issues, invite feedback from other stakeholders and make appropriate changes based on that input.
Ensure effective strategic governance (meeting cascade, roles and responsibilities, process framework, key governance processes efficiency, control framework).
Generally work behind the scenes to solve problems, mediate disputes, and deal with issues before they bubble up to the CTO.
Collect information from multiple sources on specific issues, analyze & provide guidance to resolve problems before / when they reach the CTO.
Facilitate Continuous Improvement at Exco Level but also within the organization. Take the lead on Problem Solving facilitation when needed, with delegation from the CTO.
Manage specific actions or coordinate initiatives as assigned on behalf of the CTO.
Build and maintain key stakeholders relationships (Exco members, managers, staff, functions, other chief of staffs ). Improve relationships through various forms of engagement.
