  • Reporting to the Operations & Facilities Management Director
  • Office administration and management - this includes but not limited to office space planning, coordinate internal
  • office moves, maintain the floor maps and telephone list; oversee business cards / letterhead etc. printing , manage OFM mobile phones, uniform arrangement;
  • perform induction program and work station risk assessment for new joiners; petty cash payment and handle various kinds of office expenses payment.

  • Ensure the smooth daily office operation and oversee the maintenance of our Office Premises at One Taikoo Place (OTP) and Admiralty Centre (AC).
  • This includes but not limited to office cleaning, pest control and carpet cleaning arrangements; arrange inspection of fire equipment to comply with the Fire Service Regulations;
  • coordinate annual fire drill etc.

  • Responsible for Office Procurement - e.g. purchase office equipment, furniture and office supplies in accordance with the Office Procurement Policy;
  • and maintain a master inventory list of all equipment / furniture owned by the Firm

  • Supervise the Catering assistants and Cleaners, and provide the necessary training
  • Be hands-on with necessary office renovation and relocation, if required
  • Handle logistics arrangements such as travel bookings for Practice Group retreats for HK based participants; coordinate setup and catering for in-house training / meetings / events;
  • hotel bookings for visitors to HK; office cars bookings

  • Organize Office events (e.g. Friday night drinks, Christmas party, Social Club, and support regional / global events) and manage venue booking, decoration and catering, etc.
  • Requirements

  • At least 10 years all round office administration and management experience in sizable companies in a similar role
  • Candidate with less experience will be considered for the post of Assistant Operations & Facilities Manager
  • Extensive working experience with senior management and managing the office services team
  • Excellent spoken and written English and Chines
  • Detail-oriented, flexible, good interpersonal skills, positive attitude, willing to go the extra miles
