Purpose of your role

This role will provide support to the Head of Equities - Global Research and Asia ex Japan Investment with a focus on administration and requires sound secretarial and organisational skills.

The Head of Equities manages a large, complex global function, with more than 150 investment professionals in the reporting line.

The successful candidate for this role will be dynamic, pro-active, extremely organized & detail-oriented and discrete. The duties include extensive diary management, meeting organization across time zones and geographies, complex trip and travel arrangements, printing reports, hand-over notes, and general administration.

This role plays an important role in the investment platform / process and must be pro-active.

Key Responsibilities

  • Provide excellent quality and detailed oriented secretarial and administrative assistance to the Head of Equities - Global Research & Asia ex Japan Investment
  • Calendar, diary and email management
  • Strong time management skills : diaries; direct report movements; priorities; keeping the Head of Equities - Global Research & Asia ex Japan Investment on schedule
  • Arrange internal and external meetings, conference calls and video conference calls regionally and globally over different time zones
  • Responsible for extensive / complicated travel & hotel arrangements, coordination, and preparing business and travel expenses reports for the Head of Equities - Global Research & Asia ex Japan Investment
  • Assist in building and updating internal / external presentations for the Head of Equities - Global Research & Asia ex Japan Investment
  • Access databases to extract information in order to compile various reports and presentations using Word, Excel and PowerPoint
  • Act as a back-up for other coordinators when on leave, must be a team player

  • Experience and Qualifications Required

  • Previous experience in a Senior Executive Assistant position, experience working in a financial services environment is an advantage
  • Must have strong PC skills and be advanced user of Excel and PowerPoint
  • Strong written and verbal communication skills as well as exceptional interpersonal skills, a true team player and a good communicator
  • Exceptional organizational skills and the ability to work within challenging timeframes
  • To get things done in a timely, discreet and amiable manner
  • Strong time management skills, attention to detail and consistent follow through skills
  • High degree of responsiveness with a quick and high quality turnaround Ability to work independently, multi-task and show initiative when needed to manage daily tasks, expectations
  • Ability to maintain confidentiality and integrity at all times
  • Ability to identify issues independently and use initiative to resolve them and communicating with relevant parties
  • Flexible and positive attitude and willing to work overtime when required to meet deadlines
  • Mandarin would be advantageous
