Job Mission

Across Chanel in Hong Kong & Macau, there are around 12 office premises including RSO & DC which contribute to the complexity of the jobs to be done in making CHANEL a Better Place to work for our people.

The external context coupled with the multiple facilities management call for the need to apply a human centric, agile and technology driven approach to support and meet the constantly changing needs of multi-generational individuals and teams in the House.

The mission of the workplace experience team is to create an employee-centric workplace to engage our people and to foster a collaborative and innovative culture with focus around employee well-being, health & safety and facilities management solutions on the floor with technology as a key enabler.

In order for the workplace experience team to achieve its mission, a close partnership is required with the Organization Development and Human Resources function to guarantee a holistic approach in elevating our people experience from the hardware to setting the right conditions for them to excel in their roles & job mission. .

Key Responsibilities :

Reporting to the Assistant Manager of Workplace Experience, the Workplace Ambassador will be responsible for providing overall support in a workplace that contribute to the well-being of our employees by delivering day-to-day operations on the floor, partner with People Experience in launching the employee wellness initiatives relating to workplace and to implement the initiatives in looking after the well-being and health and safety of our employees.

Her / his scope of responsibilities will cover all the office premises across Hong Kong & Macau including the RSO for our retail populations, Training Center and DC.

Employee Well-being, Health & Safety

  • To carry out the planned initiatives to ensure a safe working environment for our employees, such as, systems furniture, working ambience (e.
  • g. temperature, air quality, quality of water supplies & etc.), and other amenities (healthy food & drinks etc.).

  • To serve as the window for our employees in sharing their feedbacks and challenges relating to the workplace, in order to address their needs and issues in a timely manner.
  • Serve as the main contact for employees on all office emergency incidents.
  • Office Administrative Management

  • Provide support for all the office administrative related activities, focusing on the hospitality and housekeeping services.
  • Deliver all-rounded hospitality experience to our employees and visitors by observing the standard of the office administrative services.
  • Act as the main contact point with the Building Management and to ensure timely communication of the information and regulation with our people.
  • To supervise our housekeepers for delivering the day-to-day operations including Meeting Room setup and to keep track of the inventory of the office supplies, including stationaries, pantry supplies, coffee, healthy drinks, etc.

    To maintain the office condition through regular inspection, so as to ensure office cleanliness and tidiness being adhered to the standard.

  • Ensure the office administrative related policies are executed in a seamless manner and provide regular feedback to continue fine tuning the policies.
  • Own and maintain the workplace data / dashboard and keep the information updated.
  • Partner with Facilities Management Team in coordinating the workplace repair and maintenance works and to ensure a seamless communication with our employees.
  • Issue Purchase Orders and to monitor the expenses for all office supplies and services; and to maintain a comprehensive record of all the spending for budgeting and cost control purposes.
  • Partner with People Experience in supporting the new staff on-boarding process and logistic arrangement including execution of office tour, administration of security access card, production of name card & name plate, etc;
  • Prepare the Training Room occupancy report for Tsing Yi on monthly basis.
  • Arrange shuttle bus service to cope with the training schedule in Tsing Yi and to prepare the usage report for record.
  • Update the Telephone Directory on monthly basis.
  • Perform the ad-hoc duties related to the workplace as deemed necessary.
  • Partnership with People Experience

  • Partner with People Experience in bringing to life the employee wellness initiatives relating to the workplace and to serve as the sounding board to People Experience on employee wellness to ensure the best experience are delivered to them.
  • Ensure seamless communication with our employees on all workplace related matters by observing the guidelines from People Experience and the Communications team especially under emergency situations.
  • Role Specifications

  • Minimum of 5 years working experience with proven track record in workplace operations or facilities management with understanding of latest market trends.
  • Good organizing skills and able to work multi-tasking.
  • Good problem-solving skills and attention to details.
  • A strong team player with excellent interpersonal, communication & networking skills and be able to build a good relationship & partnership with stakeholders.
  • Be open minded and think out of the box in looking for new ways of doing things.
  • Fluent spoken English and Cantonese.
