RESPONSIBILITIES AND QUALIFICATIONS

This role is for a full time Office Manager for the Investment Banking Division. The individual will work closely with the Investment Banking management team, Human Resources, Corporate Services and Real Estate team.

Responsibilities include :

  • Manage Administrative assistant population
  • oAbility to manage a team across the division

    oMaintaining standards and consistency in work quality

    oWorkforce budgeting

    oOversee hospitality services including pantry provision, conference room management

    oOversight of quality provision of travel and ground transportation services

  • Organize infrastructure for Hong Kong and other non-China offices
  • oManage the divisional rollout of new technical implementations

    oOversee Business Continuity Plans

  • oManage local vendors’ relationships and maintain management oversight;
  • oRepresenting the division in negotiation with internal client and external vendors alongside Corporate Services / Real Estate

    oOversee facilities management services and contracts, including routine moves / construction projects, building operations

  • Integral member of IBD management team
  • Skills Experience required

  • 5+ years of relevant experience
  • Solid interpersonal, organization, problem solving, attention to detail and analytical
  • Microsoft Office skills (Outlook, Word, Excel and PowerPoint)
  • Prior team management experience
  • Hard working strong work ethic with a positive attitude
  • Flexible and reliable
  • Ability to work well under pressure and stay professional in a busy environment
  • Proactive - follow up where necessary without prompting and seek clarification when needed
  • Willingness to help and be part of a team
  • Strong verbal and written communication skills
  • Strong attention to detail
