Receptionist / Office Secretary

The Job plays a key role in overseeing the daily operations of the AXA IM HK Office. Key roles include reception duties, general office administration, travel arrangements, social events and Staff Health & Safety.

  • Perform Receptionist Duties for both AXA IM Asia & AXA IM Chorus.
  • Provide support to Asia COO
  • Co-ordinate meeting room bookings and tidiness of meeting rooms.
  • Responsible for the day-to-day operations of the office and to ensure the office is running smoothly.
  • General office administration, maintain stationary inventory & pantry supplies
  • Arrange for repairing & maintainence of office equipment. Ascertain the need, search for supplier & facilitate ordering and installation of office equipments.
  • Travel Arrangements of approximately 20 frequent travellers
  • Back up of personal assistants
  • Provide support to Finance Team in preparation of Expenses Reports & Accounts Payable matters
  • Assist in ad hoc tasks and projects as assigned from time to time
  • Assist in social events, Health & Safety, Environmental Projects / Reporting.
  • Education / Qualifications

  • College or University Graduate
  • Preferably with administration and secretarial training
  • Experience

  • Approximately 5 years working experience
  • Capable of administering small office environment
  • Knowledge and Skills

  • Good command of MS Office and Outlook
  • Good written & oral communication skills in both English and Cantonese, Mandarin is preference
