    The Role

    This role is to provide administrative support to the Co-Heads of Department, particularly in supporting the client relationships.

    The Client Liaison Officer is required to work under limited supervision, performing secretarial and business support. Duties are both semi-complex and confidential in nature requiring the use of discretion.

    The Client Liaison Officer needs to regularly follow and apply established company departmental policies, procedures and standards in making day-to-day decisions.

    Specific duties & responsibilities will include but are not limited to

  • Oversee communications with clients on behalf of the Co-heads of the Department, such as arranging meetings, written and verbal communications in sharing updates and information with clients, and ensuring smooth transactions from bidding to payment and collection.
  • Anticipate and proactively respond to clients’ and the Co-Heads’ needs.
  • Create and maintain files of Co-heads’ correspondence, records etc.
  • Participate in business meetings and prepare business correspondence and presentation materials.
  • Responsible for diary management and meeting scheduling.
  • Planning and arranging extensive overseas travel arrangements including visas, flights, and accommodation booking.
  • Prepare travel and entertainment expense reports and provide deal expense breakdown reports.
  • Handle confidential company and employee information.
  • Possess a deep and intimate familiarity with all active and prospective clients and their collections, including anticipating and responding to their needs.
  • Work closely, efficiently and effectively with other specialist departments including international and regional offices, external organizations, individuals and institutions.
  • Provide appraisal support, which includes liaising with clients, specialists and other internal departments.
  • Provide support in creating proposals and pitches, which includes gathering item details and images.
  • Prepare summary sale information packet for internal use.
  • Prepare condition reports of consigned property prior to the auction.
  • Participate in Telephone Bidding with clients during the auction.
  • Work with buyers during sale week to market and pre-sell the sale.
  • Coordinate and produce materials and information for Press and Marketing.
  • Work on special projects as assigned by the Co-heads or Regional Managing Director..
  • The Candidate

  • Highly proficient in English, Chinese and one other foreign language.
  • Degree holder and proven experience in supporting senior executives
  • Well-organized, mature, independent and able to work under pressure in fast moving environment.
  • Professional and service oriented.
  • Enthusiastic team player.
  • Flexible and willing to handle last minute changes and issues as they arise.
  • Strong work ethic and strong sense of urgency.
  • Eager to get involved and fully participate in the team.
  • Possess a can do attitude.
  • Ability to anticipate scheduling conflicts and recommend solutions.
  • Time management ability to prioritize.
  • Ability to work on multiple tasks simultaneously.
  • High degree of common sense and a willingness to assume responsibility.
  • Tactful and good communication skills in dealing with all levels of people.
  • Sense of confidentiality.
  • Strong knowledge of Word, Excel, PowerPoint and Microsoft Outlook.
