The Role : Administrative Assistant
The Location : Hong Kong

Provide daily administrative support to the Administration team
Manage meeting room bookings and calendar including coordination of department meetings and / or external client events (both virtual and in-person)
Oversee and provide calendar management to Senior Management and Lead analysts in the team
Handle and respond to email correspondence and phone calls
Handle photocopying, printing, mail and document (including newspaper distribution)
Order supplies and equipment for department if needed
Arrange domestic / international travel itineraries and coordinate travel and meeting plans for the departments
Prepare and process monthly expenses for the team for billing
Provide support on ad-hoc assignments or projects
Arrangement for local and overseas courier and mails (including Postage, DHL, Invoices report filing)
Support Sales / Mkt Dev for printing and binding seminar or meeting materials
Coordination for submitting medical and dental claim
Stationery replenishment for general office
Update Travel Schedule on Master file for all ex Corp, manage travel arrangement and report on Concur
Investor outreach report and update new contacts on SFDC
Business card order for staff
Update Market Outreach (MIP) in RatingsGateway and new contacts under SFDC
Bachelor degree in business or any related subjects
Solid administrative assistant or executive assistant experience in other financial institutions supporting large teams
Possess excellent organizational and communication skills (oral and written)
Professional phone manner and demeanor and excellent interpersonal skills
Must be able to work in a fast-paced team environment and to work independently, as well as work on projects as required
Must have high level of interpersonal skills to handle sensitive and confidential situations
Proficient in XP Word, Excel, Outlook, PowerPoint, LinkedIn, SalesForce, Concur
Ability to multi-task and prioritize work as needed
