Job Responsibilities :

  • Provide full spectrum of secretarial and administrative support to the Listing Policy & Secretariat team
  • Perform general administrative duties including word processing, copying, scanning of documents and filing
  • Answer telephone calls and receive visitors
  • Organize meetings including : booking internal venue, checking expected attendance, arranging tabled documents and meeting equipment (including audio / visual conference facilities)
  • Liaising with internal teams on agenda items, documentation and conflict information
  • Drafting of formal agenda from template
  • Uploading documents to an electronic software platform and setting access rights
  • Attending meetings to receive and direct attendees
  • Maintaining meeting attendance records
  • Perform any other administrative duties as assigned by supervisor
  • Job Requirements :

  • HKCEE / HKDSE or above with formal secretarial training
  • At least 3 years of secretarial and / or administrative experience in serving in a well-established financial organisation
  • Paralegal background would be an advantage but not essential
  • Organised, attentive to detail, and with the ability to multi-task
  • Able to communicate effectively in both written and spoken English and Chinese. Proficiency in Putonghua an advantage
  • Proficiency in MS Word, Excel, PowerPoint, Outlook and Chinese word processing
