Secretary / Personal Assistant

  • Report to Finance and Administration Director
  • Assisting in sourcing of materials, handling purchase orders and following up delivery schedules with vendors and factory including all incoming shipment
  • Communicating with suppliers directly on price negotiation
  • Constant price updates on stock list and prepare various report for different department
  • Responsible to identify and report on any nonconforming products or services
  • Manages and overlook all the works and jobs related to administration within the company, insuring all departments work in a coherent, traceable and well coordinated administration framework, and respect the administration procedures.
  • Extensive administrative support is required which includes internal ordering supplies, processing invoices, copying, filing, mailings, preparation of confidential and non-confidential documents and handle human resources matters
  • Schedules appointments and makes arrangements for meetings and teleconferences (including agendas and supporting documents), accommodation and travel (including authorities and claims) for the team
  • Manages / tracks the flow of hard copy mail, documents and verbal communications through the head office, alerting the team to urgent and important items, and determining action required and deadlines for other matters before distributing them to the appropriate individuals
  • Maintains and operates the hard copy record-keeping and filing system for the head office
  • To perform ad-hoc duties as assigned
  • Working in Tuen Mun, Hong Kong
  • Requirements

  • Form 5 or above with LCC & I Intermediate or above, with secretarial study diploma would be an advantage
  • 5 years experience or above in administration or procurement aspects preferably, candidate with less experience will also be considered as Accounts and Administrative Secretary or Junior Accounts and Administrative Secretary
  • Good command of written and spoken English, Cantonese and Putonghua
  • Excellent PC knowledge in MS Office, especially in MS Excel
  • Good interpersonal and communication skills
  • Mature, well-organized, detail-minded, pleasant and independent
  • High sense of responsibility and willing to work overtime, self-motivated and able to work under pressure on tight schedules
