  • Compose response to routine correspondence for Managers signature.
  • Type general correspondence, including letters, memos, faxes and reports etc.
  • Update phone list, team leave planner and dept. assets (computer and iPhone) register on regular basis.
  • Organise travel itineraries, including booking flights, hotels, restaurants etc.
  • Prepare claims for reimbursements of business expenses and general expenses for Compliance PvB & legal
  • Arrange invoice payments and monitor approval process of legal bills submitted from the Biz and Compliance team.
  • Manage and co-ordinate diaries including arranging and booking internal and external meetings.
  • Arrange local trainings / training calls for Compliance and Businesses.
  • Maintain Departmental e-Learning records including up-keep of completion certificates and chasing up on overdue ones to ensure all in compliance with Bank’s training requirements
  • Maintain an effective filing system.
  • Co-ordinate and order department stationery and accessories, within budget constraints.
  • Deal with all the enquiries / requisitions / approvals of different on-line systems.
  • Liaison with the IT service support group and shared service centres.
  • Other ad-hoc administrative duties as required e.g. arrange conferences and offsite meetings.
  • Assist in some simply compliance tasks including handling the PAD consent letters, RRMI attestation, PAD exceptions, coordinate and consolidate different MI reports on bi-weekly or monthly basis.
  • Help to update PvB legal and compliance telephone directory and PvB compliance org chart on a monthly basis.
  • Help with the new joiner set up and lever related administrative tasks.

  • Educational background to high school level
  • Formal secretarial training
  • Commercial training and accounting knowledge
  • Experience in working in legal and compliance field (desirable)
  • Experience in working in financial sector
  • Good analytical and communication skills
  • Effective secretarial skills with adequate PC exposure
  • Strong interpersonal skills with good judgement ability
  • Personal authority and integrity
  • Independence and resilience
