ASSOCIATE DIRECTOR, OPERATIONS

JOB OBJECTIVE

MCI is a global leader in the corporate and association communications and events industry, creating solutions for our clients around the world and headquarter in Geneva.

With our strong presence across Asia Pacific, our products and services include MICE - meeting and event management, professional congress organization (PCO), destination management services (DMC) and association management & consulting (AM&C).

Planning, developing and delivering events and communication programmes in the private sector in an international environment, offering the full range of MCI event solutions and managements.

The associate director, operations will manage the operation team, take the lead for large scale projects, ensure quality delivery for event execution.

This role is expected to strongly support business development in the pitching process from ideation, feasibility to budgeting.

MAIN RESPONSIBILITIES

Production & Operations (55%)

  • Planning of operational roles within event / project teams
  • Managing project teams during the preparation phase of a project and on-site execution
  • Participating in event debriefings, gather client feedback and market intelligence
  • Regular and frequent communication with clients to monitor client satisfaction
  • Proper reconciliation (operational, financial) of all projects handled by event / project teams
  • Building, maintaining and continual development of relationships with suppliers, negotiating best prices and deals, setting up credit agreements, raising purchase orders, attending supplier visits to MCI where appropriate
  • Supervising final production and presentation of proposals to clients (concept, creativity, planning, time line, quality, budget, resources, profitability, etc.),
  • Strategize and plan the operational roles within the BU
  • Being present at all relevant events (incl. all events of own clients)
  • Maintain rapport within client base and build new clients where able
  • Sales for repeated, referred and new Clients (25%)

  • Managing high value repeat / referred clients as account management
  • Developing new clients into key accounts
  • Bringing in new clients where possible
  • Management (20%)

  • Supervising and where needed direct involvement in the proper management of projects attributed to the BU, including planning, budgeting, quality of work, client management, etc.
  • Ensuring the profitability of the events and projects organised, managing and verifying all income and expenditure
  • Maintaining and updating of managerial tools such as CRM and all appropriate files and databases
  • Develop a cohesive and passionate operations team, and plan required training as appropriate
  • Maintain the GM Target and BU EBT
  • DESCRIPTION OF THE RELATIONSHIPS

    Roles the occupant of the position holds within the company, including any supervisory positions, subordinating roles and / or other working relationships.)

    The Associate Operation Director reports to BU Director & Managing Director.

    JOB REQUIREMENTS

    The minimum qualifications needed to perform the Main Responsibilities of the job such as education, experience, knowledge, skills and abilities.

    Any critical skills and expertise required for the job should be included.)

  • A minimum of 5-8 years’ experience in the meeting and event industry demonstrating consistent progression in roles and responsibilities
  • Experience in planning, developing and delivering events and communication programmes in the private and / or public sector in an international environment
  • Experience in dealing with Director-level client contacts at major international corporations
  • A proven track record of managing and motivating teams and delivering small- and large scale projects in a service environment
  • Ability to make decisions, express and develop new ideas
  • Fluency in Chinese andEnglish, additional languages strongly desired
  • Good knowledge of computerized systems including word processing, spreadsheets, presentation packages and databases, preferably Word, Excel, PowerPoint
  • Travelling onsite inspections and accompanying events as required
  • In possession of a driving licence is preferrable
  • Good knowledge of international destinations hotels and venues (for MICE projects) of both HK, Macau & Asia Pacific countries
  • SPECIFIC TECHNICAL SKILLS

    A particular computer environment or a specific application.)

  • Fluency in English and Chinese, additional languages welcome
  • Excellent knowledge of computerized systems including word processing, spreadsheets, presentation packages
  • Understanding of technical production software such as AutoCad a definite advantage
  • ADDITIONAL LOCAL REQUIREMENTS

  • Perform and possess of leadership skill
