Regional Office Manager & Executive Assistant to Managing Director of Asia & India

Position Summary :

This position will be responsible to provide senior level administrative and operational support, performing administrative activities to effectively support office operations for the Asia and India regions.

The Office Manager and EA must understand prioritization, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team.

A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with executives inside and outside the NBA is critical.

The successful candidate will possess the ability to complete complex tasks with little to no guidance, react with the appropriate urgency and take effective action.

Major Responsibility :

  • Run the day-to-day operation of the Hong Kong office Managing the facilities and administrative team Health and safety protocols Office cleanliness and organization
  • Provide guidance, coordination and support for regional workplaces including NBA offices in Singapore, Manila, and Mumbai
  • Independently perform administrative work, support senior level management, and positively interact with all levels of our organization.
  • Managing schedules and calendars ensuring complete and accurate information is available and coordinated Meeting scheduling and coordination Planning travel maintaining an accurate itinerary Processing expense reports in an accurate and timely manner Building and maintaining relationships with other key senior EA's globally

  • Support external meeting scheduling for Asia Leadership Team
  • Support of special projects (ie : offsites, teambuilding, office events, etc.)
  • Required Skills / Knowledge :

  • Knowledge of administrative practices and procedures
  • Excellent verbal, written, and organizational skills
  • Ability to manage a local and remote team Ability to handle multiple demands and stakeholders
  • Proficiency in Microsoft applications
  • Excellent interpersonal skills with the ability to work as part of a team
  • Exceptional attention to detail
  • Posed and professional demeanor
  • Integrity and discretion in dealing with confidential and sensitive matters
  • Sound judgement with ability to make independent decisions
  • Fluency in English required, Cantonese a plus
  • Some travel may be required
  • Experience Needed :

  • Prior experience in executive office environment necessary
  • Experience working with a diverse set of cultures across a global business
  • At least 5 years of experience as an executive assistant, ideally supporting c-suite executives for multi-national companies
  • Experienced supporting multiple executives and juggling priorities
  • Education :

  • Diploma / University Degree preferred
