WHAT YOU'LL DO This position serves as a key secretarial and administrative support to the Partners / PR or other senior managers.
Highly involved in all of their business activities and expected to act with initiative, taking a large degree of responsibility / job ownership and handles confidential information with utmost discretion.
This position is also expected to work as a team with other secretaries in the local office as well as within Greater China.
This position requires excellent communication and interpersonal skills when teaming with other Business Services staff.
In addition, good problem-solving and organization skills, attention to details are important especially when supporting the Partners / PR on various business needs.
To be effective, the incumbent should be highly well organized, able to multi-task and work well in an environment with rapidly shifting priorities.
Task profile and areas of responsibility
To provide qualified EA support to Partners / Principles
Actively managing choices of third parties , preempting conflicts and solving them without detailed guidance and doing own research to find best options
Organizes internal and external meetings and conferences which the Partner is responsible for; analyze information and make recommendations for venue selection, etc.
Telephone answering and screening including cold calls for the Practice Area that the Partner is responsible for. Continue to build up PA knowledge, to ensure potential client calls are properly forwarded to the responsible partners.
Other case management assistance work, i.e. opening of proposal code and project code as required, bidding documents preparation and etc.
Offer documentation support to partner's requirements especially the PowerPoint, word or excel and printing and binding, etc.
Team work with other secretaries when necessary in event, client meeting or other required situationPerforms general office duties / assistance as required, provides back-up to other secretaries when needed.
