WHAT YOU'LL DO This position serves as a key secretarial and administrative support to the Partners / PR or other senior managers.

Highly involved in all of their business activities and expected to act with initiative, taking a large degree of responsibility / job ownership and handles confidential information with utmost discretion.

This position is also expected to work as a team with other secretaries in the local office as well as within Greater China.

This position requires excellent communication and interpersonal skills when teaming with other Business Services staff.

In addition, good problem-solving and organization skills, attention to details are important especially when supporting the Partners / PR on various business needs.

To be effective, the incumbent should be highly well organized, able to multi-task and work well in an environment with rapidly shifting priorities.

Task profile and areas of responsibility

To provide qualified EA support to Partners / Principles

  • Travel arrangementsPlenty knowledge on logics and terms of domestic and oversea flightsSmartly to plan a travel based on pattern of boss and seek for the most effective options taking all trade-offs into accountAnticipates and co-ordinates point-to-point travel and logistics needs, include but not limited to directions, commuting time and ground transportation, passport and visa processing
  • Meeting / Schedule managementActively manages the calendars for the assigned Partners with an overall understanding of business priorities to offer alternatives, tradeoffs and consideration of the most efficient use of Partners’ time, and provides timely reminder as necessary;
  • With minimum instruction, proactively follows up on emails when copied, and determines the most appropriate next steps from scheduling standpoint;
  • Actively managing choices of third parties , preempting conflicts and solving them without detailed guidance and doing own research to find best options

  • Support business development activitiesSupports business objectives under guidance by acquiring necessary knowledge in the Practice Area (PA) the partner is working on;
  • building working relationships with clients and client assistants to facilitate information flow and scheduling;Actively and timely manages and administers clients contact / database, ensure the accuracy and timely input of new client contacts into the database;
  • Organizes internal and external meetings and conferences which the Partner is responsible for; analyze information and make recommendations for venue selection, etc.

    Telephone answering and screening including cold calls for the Practice Area that the Partner is responsible for. Continue to build up PA knowledge, to ensure potential client calls are properly forwarded to the responsible partners.

  • Support case worksPrepares Partners’ timesheet and expense report and reconcile charges against statement in accordance with company guidelines;
  • Keeps track of partner's resumes with the updated profile and accurate translation. Send people the partner's resumes upon request after partner's review;
  • Other case management assistance work, i.e. opening of proposal code and project code as required, bidding documents preparation and etc.

    Offer documentation support to partner's requirements especially the PowerPoint, word or excel and printing and binding, etc.

  • Other responsibility and team contributionsAssists partner in other administrative tasks to leverage time, which may include to prepare cost of living reimbursement, medical insurance claims and keep tracking of travel days associated with tax filing in overseas, etc.
  • Provides professional support to BCG visitors, assist with settling in requirements and other logistic arrangement coordination, and greet as appropriate;
  • Team work with other secretaries when necessary in event, client meeting or other required situationPerforms general office duties / assistance as required, provides back-up to other secretaries when needed.

  • Over 8 years of secretarial experience and at least 5 years in senior secretarial position gained in professional services or multi-national companies
  • Excellent oral and written communication skills in English and Mandarin Chinese
  • Bachelor degree or above
