The Order Management team acts as a primary interface with both external (i.e., hospitals or distributors) and internal customers (i.
e., commercial / customer care, finance and planning teams), and triage / respond to the sales order related enquiries. This team plays a crucial role towards the customer experience journey, and to the Order-to-Cash ( OTC ) process flow.
In this role, you will be the main person on the ground in Hong Kong for the Medical Business handling enquiries, processing orders and service billing along the OTC flow with external customers.
You will also support internal requests such as master data maintenance, demo or stock transfer as part of the daily routine.
What You Will Be Doing :
Primary point of contact on orders from order processing in internal systems, till order status follow-up within Operations and Planning teams.
Collaborate with commercial and customer care teams to provide timely responses to customers’ enquiries.
Execute the order management process and integrate with the 3PL management process to complete the entire Order-to-Cash flow.
Work closely within the Order Management team to identify opportunities to standardize and optimize the flow.
Work with sales, 3PL and customers to arrange timely deliveries for key orders
Support in relevant master data setup in internal systems
Triage and / or resolve any arising problems or customer complaints based on process and data analytics
Coordinating the dispatch, delivery, and billing of capital products
Reducing inbound freight costs while keeping high service levels
Generate relevant KPI reports and support the analysis
Who We Are Looking For :
Bachelor’s degree in Business, Operations, Supply Chain or related fields
About 4 -7 years experience in order processing or sales support commercial MNC settings
Fluent in verbal and written English and Chinese required (Fluency in Cantonese and Mandarin will be helpful in managing relationships with internal stakeholders in Hong Kong and Taiwan)
Enjoys the challenge of working in fast paced environment and playing a key role in building up processes
Great interpersonal skills and able to tactfully influence and persuade stakeholders towards paths of action
Effective relationship building skills and ability to collaborate well with internal stakeholders across various functions
Strong sense of ownership and problem solving skills
Proficiency in Microsoft Office tools including, Excel, PowerPoint, and Access
Previous experience using an ERP system. (JDE and BI experience or equivalent)
