Purpose :

  • To provide effective business support and administrative support to the Country team and the Head of Audit, HK
  • To develop and maintain a strong and professional working relationship with key internal and external stakeholders
  • To prepare Manco Pack, ERC Pack and part of ARC pack regularly Responsibilities :
  • Organise and track in all aspects to ensure effective and smooth running of the managers’ office
  • Provide reliable support to the manager to facilitate smooth communication with regional and global offices and multiple stakeholders
  • Screen phone calls, incoming email, enquiries and requests, and respond to them or referring such to the appropriate area for resolution
  • Plan and organize management meetings, business events, video conference and conference calls
  • Devise and maintain office systems, including data management and filing
  • Manage travel itineraries including meeting schedules, accommodation and transportation arrangements for concerned team members
  • Handle private & confidential documents and correspondences, for the Bank as well as external clients
  • Manage the budget process for the team, track all the expenditure and ensure budgetary constraints are adhered to
  • To manage and coordinate diaries including arranging and booking internal and external meetings
  • To prepare claims for reimbursements of business expense and check staff reimbursement claims
  • To handle other ad hoc tasks and assisgnments as instructed & assigned by the manager Key Stakeholders :
  • MANCO members’ PAs, Secretaries or BPM
  • GIA stakeholders Product, Functional, Country and Regional Heads of Audit.
