iBank - Admin Assistant (1 Yr Renewable Contract) Description Responsibilities :

  • Arranging events & visitor schedule for the region
  • Organizing offsite booking meeting rooms and arranging catering for the event, arranging desks for visitors and other logistics
  • Prepare the new joiners on boarding logistics activities
  • Liaising with the Facilities team for repairs, fittings, meeting room setup, etc.
  • Ordering of business cards
  • Arranging Power of Attorney documents for HR employees
  • Processing reference letters and visa application letters
  • Management of contingent workers - creating & editing profiles for contingent workers in Fieldglass
  • External meetings arranging visitor registration, booking meeting rooms and ordering drinks through the pantry staff
  • Ordering Bring Your Own Device (BYOD) license for personal mobile phones and remote access tokens for employees in HK
  • Raising Entertainment and Conference proposals for entertainment events
  • Processing invoices & expenses
  • Supporting HR Management team with ongoing administrative requirements
  • Arranging office resources and maintaining clean desk office policy
  • Providing secretarial assistance to the Asia HR COO Qualifications :
  • Bachelor’s Degree in Business Administration or related discipline
  • 2 years solid experiences on administrative support or secretarial assistance, preferably in MNC environment
  • Good in Communication Skills
  • Well Organised ; Detail minded; Multi Tasking Skills
  • Proficient in MS Office; Word; Excel; PPT Country Hong Kong Company Investment company Salary Up to US$40,000 Working Hours Full-
