The opportunity

  • The Greater China Human Resources Department is looking for a HR Administrator to provide operational support to the Greater China HR team such as handling all round applications, renewals, reporting and compliance documentations for the Law Society;
  • managing visa application and renewal process from end to end; preparing employment offers, letters, documents, internal notifications and induction packs for joiners;
  • providing all administrative support as directed by HR Advisor, etc.

    Role and Primary Responsibilities :

    Law Society Administration :

  • Handle all round applications, renewals, reporting and compliance documentations for the Law Society e.g. HKPC, RFL, Notification of Change, Annual Return etc.
  • Administer CPD trainings including scheduling trainings, applying for accreditation to Law Society, dealing with enquires from Law Society and staff regarding CPD, keeping training records up to date and arranging CPD suspension for staff when appropriate
  • Visa Administration :

  • Manage visa application and renewal process from end to end, answer enquiries, prepare letters and responses to Immigration Department as required
  • Maintain a tracking record for visa renewals and cessation
  • Operations :

  • Prepare employment offers, letters, documents, internal notifications and induction packs for joiners
  • Handle leavers' logistics and arrange exit interviews
  • Update payroll spreadsheets on monthly basis and liaise with Payroll team regarding any changes
  • Assist HRM and HR Advisor in performance review process e.g. arrange moderation meetings, prepare materials for moderation meetings and update related details on system
  • Assist HRM and HR Advisor in secondment logistics e.g. prepare secondment letters, liaise with mobility team for secondment arrangement, inform relevant parties to organise accommodation, flight, shipping and car pick-up for secondees
  • HR.Net (HR system) :

  • Data Maintenance - validity and accuracy of the system
  • Provide training on HR.net for the HR team if necessary
  • Generate reports from HR.net as and when required
  • Other Administration :

  • Provide all administrative support as directed by HR Advisor
  • Support C&B team on an as needed basis e.g. enrol new joiners to dental schemes and prepare annual renew lists
  • Generate and prepare reports on a regular basis
  • Create personnel files in both hard and electronic copy and ensure personnel files are archived in a timely manner
  • Maintain the HR intranet page and make suggestions for improvement and update
  • Support HR team cyclical events and HR projects as required
  • Skills, experience and qualifications

  • Tertiary qualification in Human Resources / related discipline or equivalent experience.
  • 1-2 years' experience HR experience
  • Good Microsoft Office skills
  • Experience of using and maintaining HR database
  • Exposure to a professional services firm desirable
