Position Purpose (why the position exists, within what limits and with what objectives)

The incumbent is responsible for the finance and planning operation for Asia Pacific Regional team and other Global Functions serviced by the Hong Kong Finance team.

The responsibilities include :

  • Manage the cost centers planning, reporting and budget monitoring for Regional and Global Functional team located in Hong Kong and China
  • Manage all accounting transaction related activities for entities serviced in compliance with IFRS / HK GAAP / China GAAP / JTI requirement covering day-
  • to-day operation, month end close review, services cross charges, cash management as well as entity forecast

  • Manage the annual financial audit and local income tax assessment process for all entities in scope
  • Oversee HK and China Representative Office operations and activities are conducted in compliance with JTI Policies and Procedures
  • Job Description

  • Manage cost centers budget planning for Regional and Functional teams located in Hong Kong and China (Reduced Risk Product only).
  • Provide analytical and budget planning tools to various stake holders to facilitate planning process. Ensure proper management planning for Top Down Target (TDT), Annual Strategic Plan (ASP) and Forecast (LE / OL) process as to meet HQ and Asia Region reporting deadlines.

    Work closely with respective functional stakeholders (local and HQ) for any management reporting and analysis requirements accurately and timely.

    Follow up with respective stake holders in monitoring the spending gap, identify and address potential issue for timely corrective action.

    Responsible for relevant budget submission (ASP / TDT / LE / OL) to HQ / Region thru SAP BW / myBudget / Cognos TM1.

  • Manage all accounting transactions related activities for all HK entities (active and dormant). Ensure operations are conducted in compliance with IFRS, HK GAAP and China GAAP standard.
  • Manage month end close process, review cost centers spending details to ensure data accuracy. Liaise closely with Business Service Center (BSC) on General Ledger / Transactional Process / Cash Management to ensure smooth day-

    to-day and month end close process flow. Act as primarily contact to resolve issue / conflict between local operational needs and BSC standard procedures, such as vendor payment terms, Travel & Entertainment (T&E) process, timely payment execution etc.

    Manage service cross charge process, ensure proper cost allocation and in compliance with respective service agreement (JTI affiliates entities, JT Inc.

    and the Asia Explorer Exchange Program). Manage cash flow, perform weekly cash flow forecast to ensure sufficient fund is available to support HK and China operation and ensure collectible are paid promptly.

    Handle entity forecast for TDT / ASP / LE / OL including SAP BW / myBudget / TM1 system load and HQ reporting requirement (financing, dividend, tax, etc.

    Directly responsible for master data maintenance for SAP Controlling module.

    Manage the annual financial audit and local income tax assessment for all HK entities and China Representative Office.

    Liaise with Deloitte, external auditor for annual financial audit process.

    Ensure that all required information is properly collected and available to external auditor.

    Monitor the audit process, work with external auditor to ensure audit reports are issued on time.

    Liaise with PwC, external tax consultant for annual tax assessment after completion of annual financial audit.

    Ensure tax filings are completed within the required timeline as set by the respective Inland Revenue Bureau.

    Oversee day-to-day operational activities to ensure compliance with relevant JTI Policies and Procedures including :

    JTI Operating Guideline - ensure relevant management approval via BAP / Memo before spending commitment.

    JTI Procure 2 Pay (P2P) and Anti-Bribery and Corruption (ABC) Policy - ensure proper ABC assessment of intermediaries as well as proper procurement, purchasing and payment according to P2P requirement, i.e. through SAP

    PR / PO except those related to conference / T&E and government related payment.

    Anti Monies Laundering (AML) Policy - ensure legitimate and proper channel of payment to all vendors.

    Contract Management - ensure proper signatories are in place for all contracts / committed liabilities.

    Gift, Hospitality and Entertainment (GHE) policy - ensure proper approval and notification of gifts and entertainment provided and received.

    One Travel policy - ensure travel planed are executed in adherence to policy and informed to Corporate Security.

    Job Requirements

  • University degree in Accounting and Finance related study
  • 5 years in a finance / accounting related function within a multi-national FMCG environment
  • Possess strong financial analytical skill, good experience in handling corporate reporting and presentation work.
  • Ability to communicate effectively with all levels, customer orientated attitudes and able to work effectively under strong time pressure is essential.
  • Finance / accounting experience with good business knowledge and highly skilled in financial modelling techniques would be an added advantage.
  • Proficient in Microsoft Office products, SAP transactional and reporting suite as well as financial modelling software.
